What to include in a machinery inquiry to get an accurate quotation

The six blocks of information that turn a vague machinery inquiry into a quotation you can actually budget from — and why missing details cost you weeks, not minutes.

A quotation is only as specific as the inquiry behind it. In B2B machinery sourcing, most delays between first contact and signed order come from missing information, not from slow suppliers: a quote that had to assume the material, the site or the destination usually gets revised two or three times before anyone can act on it. This checklist is what an experienced supplier needs to answer you with a real configuration and price instead of a placeholder.

1. Application and material

Describe the job in the operators’ language: what the machine will do, for how many hours a day, and what it will handle.

  • Material type and, if you know it, its density and fragment size.
  • Whether the material is stockpiled, dug from a face, or fed by another machine.
  • Required output: tonnes per hour, tonnes per shift, or loads per day.

2. Site conditions

Sites, not specification sheets, decide which machine survives.

  • Gradients on the working routes and the maximum grade.
  • Ground surface: prepared road, loose gravel, soft or reclaimed ground.
  • Available turning and manoeuvring space.
  • Ambient temperature range, dust levels, and rain or monsoon exposure.
  • Altitude where relevant — it changes engine performance.

3. Quantities and phasing

  • How many machines you need now, and whether more units follow.
  • Whether all machines are identical or a mixed fleet with different duties.
  • Any phased delivery dates tied to your project schedule.

4. Loading and hauling details

For trucks: haul distance, road condition, loading method (loader, excavator, conveyor), truck body volume expected, and tipping arrangement. For loaders: truck body height to load over, stockpile layout, and cycle distance. If loader and truck are being bought as a pair, say so — the pair is specified together.

5. Destination and compliance

  • Delivery destination (port and country) and preferred Incoterms if you have them.
  • Road registration requirements for on-road machines in the destination market.
  • Emission, noise or safety standards that apply to your market or your client’s contract.
  • Any client or tender specification the machines must satisfy — tenders often demand documentation the standard build does not include.

6. Documentation and after-sales expectations

  • Manuals, certificates and plates you require with the machines.
  • Spare parts and tooling expectations for the first operating season.
  • Operator training or commissioning support if you need it.
  • Warranty terms and how service will be handled at your location.

Why each block earns its place

Skipping the material block is what produces a machine sized for the wrong density. Skipping the site block is what produces a machine that overheats, ruts, or cannot turn in the yard. Skipping the compliance block is what produces a machine that arrives and cannot be registered. Each block removes one revision cycle from the quotation — and revision cycles are where weeks disappear.

What a good supplier should ask you

Expect questions back. If nobody asks about material, site, or destination before quoting, the number you receive is an estimate dressed as a quote. A supplier working honestly will also tell you what they cannot confirm yet — certifications, delivery dates, or specific configurations — rather than fill the gaps with optimistic answers.

How to send it

Plain text or a short list is fine; formatted documents are not required. Group your answers under the six headings above, add sketches or photos of the site if you have them, and state your timeline. If some items are not yet decided, write “to be confirmed” — a partial inquiry with honest gaps gets a partial but real answer, which is far more useful than a confident guess.

Send your inquiry with as many of the six blocks as you can fill in, and we will reply with the configuration we can genuinely supply, clearly marking what still needs to be confirmed.
